Ring Group

Ring Group

What is a Ring Group?

A ring group is a set of phone extensions or agents configured to receive an incoming call together, according to a defined ringing pattern, rather than routing to a single fixed person. It’s a basic but foundational call routing building block, used whenever a business wants a call handled by whichever qualified person is available, not one specific individual.

Common ring group patterns

  • Simultaneous ring (all-at-once): every extension in the group rings at the same time, and whoever answers first gets the call.
  • Sequential ring: extensions ring one at a time in a defined order, moving to the next if the current one isn’t answered.
  • Round robin: calls rotate through the group in a cycle, distributing incoming calls evenly rather than always starting from the same person.

Where ring groups fit relative to a full IVR or contact center queue

A ring group is typically a simpler routing mechanism than a full contact center queue system, often used for smaller teams or departments where a lightweight approach is sufficient, without needing sophisticated skills-based routing, wait music, or detailed queue analytics. Larger contact centers often layer more advanced queuing logic on top of, or instead of, a basic ring group.

Use cases

  • Small sales or support teams where any available team member can handle an incoming call.
  • Department-level routing for businesses that want calls to reach a specific team without assigning them to one person.
  • After-hours or backup coverage, ringing a secondary group if the primary team doesn’t answer.

Benefits

  • Faster answer times: calls reach whoever’s available rather than waiting on one specific person.
  • Simple to configure: doesn’t require the complexity of a full contact center queuing system for smaller teams.
  • Built-in redundancy: if one team member is unavailable, others in the group can still answer.
